Q: What AI Platforms can I use with my Adams account?
A: Gemini is the only platform that falls within the acceptable use parameters at Adams State. Read up on Google’s guidance for Higher Education.
Q: Can I use other platforms (e.g. ChatGPT, Claude, Copilot)?
A: Using other platforms with your personal (non-Adams) account may be acceptable at your own discretion. Note: Per State Purchasing mandate, no Adams-related business may be conducted via personal account using another platform.
Q: Can I use actual data with personally identifiable information?
A: Gemini does not use data provided to train the model, and is covered as part of acceptable use. However, before loading any sensitive or protected data consider requirements from FERPA, HIPAA, and other governance provided by federal and state legislation and regulations.
Q: Is there particular guidance from FERPA about how to use AI?
A: There is not particular guidance around AI, but general guardrails around software use would cover AI use. Data protection and compliance continues to be regulated the same by FERPA.
Q: Are Gemini chats subject to CORA Requests?
A: Yes, subject to the same rules as all records retained by Adams State University.
Q: Could Gemini chat and other AI prompt/results activity be subject to legal discovery?
A: Yes, just like all other records retained by Adams State University.
Q: Is it acceptable to use Copilot on my desktop?
A: Because of the concerns with data protection and guidance provided above, you should make a point of staying within the Google ecosystem and exclusively use Gemini for Adams-related business.
Q: Can I use Google search without AI?
A: Yes! When you enter your search add -ai to return search results without AI overlay.
Q: What about AI features within other enterprise applications used on campus (e.g. Workday, Blackboard, Freshservice)?
A: Use of these AI features fall within the acceptable use parameters because these are built-in features of products for which we have contracts and are considered part of the Adams environment.
Q: What are the AI options in Workday?
A: Workday has some embedded AI features (e.g. Assistant) and Adams State is exploring Agentic AI options for applicability, usability, and cost. Continue to use good judgement with any of those features.
Q: What policies cover AI at Adams State?
A: There is one AI-specific policy at Adams State (100-08-10/150-08-01: Artificial Intelligence), however, there are several policies that provide guidelines around data protection and acceptable use of technology.
Q: Can we use AI to develop PR/Marketing materials or for social media posts?
A: It may be acceptable to use generative AI for materials, however, all published materials and posts need to meet brand standards as provided by the PR/Marketing department.
Q: I can delete my chats with Gemini; is that data actually gone?
A: No, this data may still be surfaced in a legal discovery.
